HIPAA Compliant Web-Based Resources

RingRx (HIPAA compliant VOIP phone service)

RingRx came to my rescue when I had signed a one year contract with another VOIP company that claimed to be HIPAA compliant and turned out not to be at all…

Designed specifically for healthcare, RingRx offers tailor-made solutions for therapists and clinicians in private practice.

The flexibility is incredible. You can set it up with one mailbox for your solo practice, multiple mailboxes for group practices, include fax, add text messaging, have forwards for your answering service, virtual reception, or billing, and more—everything you want and need for your practice.

And all for a very affordable price—way lower than any other company I’ve found (and I did a ton of research!), and with fabulous customer service.

It’s a small company that knows its niche, and does it well. They are super responsive to their help desk tickets. Which is what you need because heaven forbid your phone service doesn’t work right when your client is in crisis and you have to use your personal cell to call them and risk exposing your personal number…

Jotform provides HIPAA compliant web based forms that you can use for intake and assessment. I recently made the switch from using a back office company that provided their own webform solutions for my private practice to having to find my own and I couldn’t be more pleased with Jotform. Their forms are intuitive to create (you can just upload a pdf of your existing form and it will largely put it into the correct format which is very helpful!) They also integrate smoothly with many programs you may also be using such as Google sheets, Google Calendar, Convertkit or Constant Contact or Mailchimp, Dropbox etc. For example if you integrate with Google sheets you can set up formulae to score your outcome measures for you. And their HIPAA complaint package includes templates that are appropriate for healthcare like intake forms, notification of privacy practices etc. I have been using them now since January 2022 and it has been nothing but straight forward. HIPAA compliance is available on their Silver package which has more than enough space for all you need.

Person Centered Tech or PCT is a small company based in Portland, Oregon that provides comprehensive teletherapy and HIPAA security compliance training, tools, and support for mental health professionals.

They are run by a wonderful group of people who are all tech nerds and also licensed mental health professionals. I discovered them in my first year of private practice when I was terrified of making legal and ethical mistakes (like HIPAA violations!).

And I have worked with PCT extensively since then, getting to know the team quite well. Their dedication to supporting therapists in private practice is undeniable. And their knowledge of all things technological and HIPAA-related never ceases to amaze me.

PCT has membership programs for group practices and solo practitioners, which include full-risk analysis tools and office hours over Zoom to ask questions. They also have amazing telehealth training which I promptly shared with all my staff in March 2020 (when I still had a group practice). I now work with them as a solo practitioner and I can’t see myself ever working without them.

I can honestly say that if it weren’t for PCT, my anxiety over failing HIPAA compliance would have driven me out of private practice years ago.
